$21,840.00 - $28,392.00 Annually
Salary Information:Offering salary will be made between the minimum to midpoint of the posted salary range for this position, based on qualifications and experience. Employees may progress through the full salary range, subject to their successful performance and annual budget approval.
Under general supervision and direction of the Capital Projects Director, Incumbents are responsible for filing, faxing, copying, directing phone and walk-in customers, performing basic data entry, record keeping, distributing mail, organizing and archiving documents, ordering office supplies and provide routine and non-routine clerical support to staff and/or management.  
 Minimum Qualifications:

High school diploma or GED and experience equivalent to one year full time clerical/office support work; OR completion of a post high school program in Office Practices, General Business, or closely related area may substitute for the required experience. Must have a valid Arizona Driver's License and be able to meet the Community's insurance carrier requirements. Must successfully complete a background check.
 Examples of Duties:
  • Performs general reception duties that may include: answering phones, directing inquiries to appropriate staff, greeting visitors, and providing department information.
  • Prepares and copies a variety of correspondence, e-mails, letters, memos and faxes.
  • Files documents alphabetically, numerically, or by other prescribed methods.
  • Receives and distributes incoming and outgoing mail
  • Receives and logs invoices and pay applications
  • Processes invoices & purchase order requests for payment
  • Manages cuff account spreadsheet, for the department.
  • Enters data and maintains corresponding files.
  • Assists with editing contracts/agreements and Resolutions.
  • Assists with preparing documents for Planning Development process
  • Assists with preparing Council Agenda items.
  • Performs spot checks of inventory and orders supplies as needed.
  • Prepares appropriate forms and documents to assist with maintenance requests, purchase requests, employee travel and reimbursements, and employee training.
  • Assists in maintaining department and staff schedules which may include; meetings, conferences, and workshop activities.
  • Helps organize and plan department events.
  • Performs other job-related duties as assigned.

  • Knowledge of clerical/office support practices and procedures.

  • Skill in operating a variety of office equipment, including a computer and related software applications, telephone, fax machine, and adding machine.

  • Skill in communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc, sufficient to exchange or convey information and to receive work direction.
  • Skill in preparing a variety of business correspondence, records, reports, documents and forms.

  • Ability to work effectively as a team member
  • Ability to establish and maintain effective working relationships with co-workers, management, other department employees, outside agencies and the general public.
