Jobing Description
We are looking for a dynamic individual to assist the Office Manager in handling the day to day office and facility operations of the Tempe location.

ACB has been in business since 1917. ACB is a professional agency uniquely qualified to address the Co-op/Trade Promotion, Ad Tracking and Marketing Services needs of manufacturers, while maintaining a leadership role in Information Technology and Development.



Responsibilities:

• Backup support to the office manager on a daily basis and during any absences
• Assist with facilities and equipment maintenance and repairs, renovation projects, etc.
• Department Lead- supports all the departments reporting to the office manager which includes, billing, mailroom, reception and facilities management.
• Utilize the accounting system as it relates to billing, payables and financial reporting.
• Primary responsibility of the client billing process.
• Manage distribution of client contracts.
• Analyze internal processes and recommend procedural changes to improve operations
• Frequent oral and written communications with all levels of ACB personnel, outside vendors, property management, etc.
• Manage simultaneous multiple projects
• Administration of the conference calling system and telephone system
• Switchboard duties as required

Skills / Requirements
Skills & Qualifications Necessary:
• At least 1 year experience either overseeing other team members or as a project lead.
• Intermediate to Advanced skills in MS Word, Outlook and Excel
• Excellent verbal and written communication and interpersonal skills
• High degree of confidentiality and financial responsibility
• Trouble shooting, problem solving and research capabilities
• Strong logic, basic math and reading comprehension skills
• Time management and good organization skills
• Basic typing, filing, and 10 key skills
• Be able to utilize basic office equipment including faxes, scanners, printers and copiers
• Basic understanding of office telephone use including voice mail, transfers etc.
• Customer service experience
• Experience managing multiple projects with deadlines
• High degree of initiative and flexibility
• Excellent Attendance record.
• Must be able to lift 25lbs
• Must be able to climb ladders and able to bend under workstations for maintenance evaluations
• Must be able to work a shift of 9:00 – 5:15.
