SUMMARY: This position is responsible for relaying participant eligibility information to insurance carriers via email, fax or mail following standard operating practices. This position also performs day-to-day data entry tasks and other clerical support tasks to facilitate the capture, transfer and maintenance of accurate and timely data/records. Responsibilities: 1. Gathers, compiles, sorts and verifies source documents to organize and streamline workflow. Verifies the accuracy of data before entering, following standard operating procedures. 2. In a timely and effective manner, reads source documents and enters data in specific data fields using keyboards or scanners. This may include manually or electronically processing changes in enrollments or other benefits information for new and continuing clients as appropriate. 3. Compares data with source documents in verification format to detect errors and correct them manually. 4. Stores completed documents in the appropriate locations to ensure that information is intuitively and readily accessible by others. 5. Communicates with clients and participants to answer questions or explain information. This may include reviewing files, records and other documents to obtain information for a response to requests regarding a benefit plan or personal participant account status/activity. 6. Conducts work in a manner that is ethical by adhering to Company and department standards and policies and complying with applicable laws and regulations. Reports any suspected unethical, fraudulent, or unlawful acts or practices to the appropriate authorities. 7. Maintains confidentiality of information for which this position is privy. 8. On a daily and ongoing basis, receives and responds to telephone, fax or email inquires from carriers, clients and/or participants regarding status of benefits eligibility and/or account status and activity. Determines eligibility based on client specific rules and data contained in participant records and provides information as appropriate. 9. Assists in resolving issues for clients. This may include performing research on client/participant issues that are moderately-complex in nature. This may also entail interacting with customer service and account management teams to resolve eligibility issues. 10. Upon issue resolution, enters or changes data in the system to reflect current and correct information. Additionally, follows up with clients, participants or carriers to relay information and provide resolution within established time frames. Promotes positive client relationships. 11. Reports eligibility status (active or termination) to carriers on a weekly, monthly, daily or urgent basis for applicable clients. 12. Logs and records information about client/participant/carrier interactions by inputting information into Company systems and updating information in a timely and accurate manner. 13. Assists with filing, mail, special projects, programs, and tasks as requested by other associates, supervisors, or management, working collaboratively with others. 14. Assists with the internal production (printing and distribution) of deliverables such as client communication materials, enrollment forms and confirmation statements. 15. Receives and relays customer feedback about the system and programs, funneling it to appropriate departments, divisions or as directed to support efforts for continual process improvement. 16. Performs other duties as assigned or apparent. Skills / Requirements
* HS Diploma or GED required. Some college coursework preferred.
* 2 years of general administrative work required. Previous specific experience in a data-entry or eligibility role in which incumbents are proficient and able to act as a resource is also preferred. * A general understanding and knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other basic office procedures and terminology is required. * A basic understanding of computer knowledge, as required for data entry is required. * Must have the ability to handle multiple tasks in a timely and effective manner in a fast-paced environment. Incumbents should possess good organization skills and have good attention to detail. * Good knowledge and understanding of flexible spending account (FSA) benefits, health saving accounts, COBRA and commuter benefits is preferred. * Incumbents must be able to demonstrate ownership for issues pertaining to customer service questions, researching and providing solutions rather than escalating problems that can be resolved at the first point of contact. * Good communications and interpersonal skills are required to interact positively with all levels of the organization and external contacts as described. The ability to remain customer service focused during situations in which customers may be notably frustrated is required. * The ability to work extra hours as necessary during open enrollment periods and for special projects is required. * Familiarity with contact management software is strongly preferred.
