Jobing Description

Acting in a support role to sales and accounting, conducts all transactions related EDI services ensuring accuracy and correcting issues for customers; provides administrative and clerical tasks to support sales and accounting as needed.

ESSENTIAL FUNCTIONS

1. Primarily responsible for data processing of all EDI transactions at regular intervals throughout the day with attention to detail to ensure accuracy as well as regular review to prevent issues. This includes ASN‚s, OOS, etc.

2. Works with sales team regarding daily outgoing shipments/sales to obtain up-to-date information for end of day EDI transactions.

3. Upload daily inventory for all named customers via their FTP site(s). (Current and new ones brought on).

4. Works with AR in processing credit checks on new customers; set up in GP once process complete, notify customers with cc to sales (Welcome Letter)

5. Meet and greet incoming persons and provide direction, information, and assistance as needed. Coordinate direction to appropriate personnel. Answer general mainline phone calls - will need to be transfer to the correct department.

6. Process and maintain all web based customer order portals.

7. Provide customer service both internally and externally as directed to ensure orders are accurately completed and will-call pick-ups are processed.

ADDITIONAL DUTIES

8. Process and maintain all web based customer order portals.

9. Stuffs and mails invoices (daily) and monthly statements as needed; emails
to "green" customers

10. Collects, sorts, processes and distributes incoming/outgoing mail

11. Processes credit card transactions and petty cash sales

12. Processes approved co-op credits and returns for sales as needed

13. Assists with other data entry tasks and/or projects as needed.

14. Coordinate lunches for weekly management meetings and sales team as needed

15. Maintains productive relationships with all levels of organizational personnel and outside suppliers

16. Other duties as assigned

Skills / Requirements

* Completion of high school, GED or vocational/technical degree - some college preferred
* Minimum 2 years experience in an administrative role
* Intermediate PC skills - Microsoft Word, Excel - EDI experience highly preferred.
* Experience with Great Plains software preferred
* Detailed oriented; willing and able to follow established protocols with complete follow through.
* Effective interpersonal communication skills in relating to co-workers, management, vendors and customers.
* Ability to solve practical problems by collecting data, establishing facts and drawing valid conclusions.
